What we do

The path from first call to sent quote.

A customer finds you, calls or fills in a form, somebody writes it down, somebody prices it, somebody sends it. In most small companies that path has four gaps in it and nobody can say how many jobs fall through. We close the gaps one at a time, starting with the one that costs the most.

Each stage below is quoted on its own, before anything is built. You can stop after the first one and keep everything we made.

Stage one

Catch everything that comes in.

$1,500 and about two weeks. This is the part that pays for itself first, because a missed call is the only loss you never hear about.

An assistant that answers the phone

We teach it what you install and service, what you turn down, which towns you drive to and what to say when someone asks about price or timing. It says it is an automated assistant in its first sentence, takes the details, and hands the call to a person whenever it is out of its depth.

taught on your business

One list for every channel

Calls, the form on your website and the shared inbox all land in the same place. Photos emailed by a customer attach to the job they belong to. Each inquiry has a card with notes, a status, an owner and a history.

phone, form, email

A text after every call

The caller gets your email address by text so nobody has to spell it out, and the photos you need arrive at the right address.

fewer wrong addresses

A summary every Friday

What came in, what is still waiting, what went quiet. On your phone. Plus a full export of everything to a file, whenever you want it.

five minutes to read

Also included and rarely mentioned by anyone else: the server, the logins, nightly backups with a tested restore, a data processing agreement, a walkthrough with written instructions and two weeks of corrections on real recordings. The hours behind the price.

Stage two and beyond

What usually comes next.

Once inquiries stop disappearing, the bottleneck moves. These are the places it moves to, in the order we usually meet them. Each one is priced on its own and none of them is needed for stage one to work.

Quotes

Your prices and your templates, filled in from what the customer already told us, ready for a person to check and send. Most owners we meet are doing this by hand in a word processor at nine in the evening, and it is the single slowest step between an inquiry and a yes.

A second person in the process

The moment you are not the only one handling sales, the system has to survive two people. Who owns which inquiry, what was promised, what happens when someone is on holiday. We set that up and train whoever you hire.

Scheduling

The assistant offering real slots from your crew's calendar and booking the estimate during the call, instead of promising that somebody will ring back.

Numbers

How many inquiries arrived, how many became quotes, how many became jobs, and where they stop. Once that is on one screen you can usually see what to fix next without paying us to tell you.

Moving off what you have now

If you already run a CRM that nobody likes, we can bring the history across. Sometimes the right answer is to keep it and connect to it, and we will say so if that is the case.

Training your team

A system people avoid is worse than no system. When we hand something over, we sit with the people who will use it until they actually use it.

Limits

What we will not do.

We do not sell for you. The assistant catches the inquiry and hands you a caller who already explained what they need. Nobody is talked into anything, chased or negotiated with.

We do not build accounting, payroll, inventory or field dispatch. There are good products for those and we will point you at them.

We do not take over your software bills. Every account is opened in your name and paid to the vendor directly, which costs us revenue and means you can leave whenever you want.

We do not start anything that has not been quoted. If you ask for something halfway through, you get a number first and decide afterwards.
